A. Dictations are submitted over the phone via toll-free line that you can call 24 hours a day, 7 days a week. Additionally, we offer digital handheld recorders or dictation-ready pc that may also be used to submit dictations.
Q. How is my dictation processed?
A. When you sign up, you will be assigned to a Medical Management Services based on your specialty and your estimated dictation load. When you submit a dictation into our system, your assigned Medical Management Services will automatically receive your dictation for transcription. Medical Management Services consists of medical transcriptionist with quality assurance supervisor, with more than 10 years of medical transcription experience, who checks the transcription for accuracy and make the transcription available for online pick up.
Q. How do I receive my transcriptions?
A. You can receive transcriptions back in any format you wish, even in multiple formats. You can of course pick up your transcriptions via your control screen on the Internet, but apart from that, you can ask for a fax copy or a direct printout. When you sign up, you are given a login name and password that allows you to access your transcriptions on our website, http://www.mmsgroup.us . You can then view and print your transcriptions online or download them to your computer. From here, you can send the report to anybody via email or fax, auto or manually.
Q. Are dictated and transcribed reports available “on-line”?
A. Dictated and transcribed reports are available for up to 365 days on-line absolutely free. After that time all data is archived to secondary media and stored for life.
Q. Can you use my normals?
A. We will be happy to incorporate any normals or canned phrases you may routinely use in your dictation.
Q. How do I open the transcriptions I download?
A. The transcriptions are returned in an RTF (Rich Text Format) file or any format you like. This standard file type can be opened using virtually any word processing program, including Microsoft Word, WordPerfect, Lotus, etc.
Q. How can I be sure of Internet security issues?
A. All communication between your computer and our website is protected through the use of Secure Socket Layer encryption (SSL). This means that nobody can “listen in” on the conversation between those computers. This is the same level of security that large E-Commerce and banking sites use. You can verify this by looking for the little padlock icon used by Netscape and Internet Explorer to designate secure site.
Q. What turnaround times do you offer?
A. We give you a facility of next day reporting (practically 12 hour turnaround time while charging for 24 hour turnaround time), for example, you will get back the reports at 9.00 am irrespective of the time you dictated them the previous day, from 9.00 am to 9.00 pm.
You can also select turnaround times to meet your needs – 48 hour, 24 hour, 4 hour and 2 hours. You may choose different default turnaround times by report type or you can specify that with each report.
Q. What if I dictate over the weekend?
A. We have transcriptionists working 7 days a week. The turnaround time also applies to weekend dictations.
Q. Does Intercom provide dictation equipment?
A. Yes, we will provide and install an on-site, full-featured Dictation Capture Unit (DCU) at no additional charge to our customers based on certain contractual agreements.
Q. Do you provide auto-fax services?
A. Yes, we offer the Fax Solution, at an additional charge that can accommodate certain physicians in the database, which automatically faxes attending or cc physicians, and allows users to monitor all stages of the faxing process.
Q. How much does the service cost?
A. We charge by per line basis and turnaround time. The real rates come very cheap with Intercom in comparison to in-house or other outsourced agencies, at least 10-30%, because of innovative use of transcription methods like template, and smooth & informed workflow. Q. What constitutes a line of transcription?
A. We count a 65-character line where a character is defined as any letter, number or symbol necessary for the final appearance and content of a document, including the space bar. To fully understand this, take a transcribed document and open it in Word 97 or greater. Go to Tools, select Word Count and note the value shown next to “Characters (with spaces)” and divide this by 65.
